Recreation Programmer - Recreation
Coordinates, promotes, and implements special events and programming for the Recreation Division (Senior Services, Recreation Centers, Municipal Pool, and Nature Center); solicits and obtains event sponsors within organizational guidelines; organizes event supplies and venues; recruits and oversees volunteer activities; participates in setting up and taking down events; and prepares and maintains various types of event documentation. Plans, organizes, promotes, and executes various types of special events held at the Fort Concho Museum including but not limited to Frontier Day, Fun at the Fort, and Christmas at Old Fort Concho; performs a variety of event management functions pertaining to sponsorship, publicity, volunteer recruiting, and event set up/clean up; markets, promotes, and publicizes events; prepares event advertisements, fliers, and/or other types of promotional materials; secures billboard advertising; conducts promotional interviews; contacts potential event sponsors via telephone and correspondence; solicits and secures sponsors; processes billing related to sponsorships; organizes event venues, supplies, equipment, vendors, and entertainment; negotiates and administers vendor and entertainer contracs; recruits and/or provides training to event volunteers; coordinates and oversees volunteer activities; oversees and participates in setting up and taking down events; responds to public inquiries regarding Recreation Center programming, special events, and/or other event related matters; serves as event chairperson; coordinates and conducts event committee meetings; tracks, documents, and maintains records of income generated by special events including sponsorships, vendor fees, ticket sales, promotions, and concessions; prepares, files, and maintains various types of event documentation including correspondence contracts, and reports; sends thank-you letters to event volunteers and supporters; participates in fundraising activities and events; assists with the Museums’ membership drive; develops, coordinates, and implements special programs as assigned; and performs other related duties as assigned. Program or event management experience preferred; OR combination of education and experience is acceptable. Required knowledge of principles and practices of event management; special events relative to a recreational setting; regulations and standards governing public events; marketing and public relations principles; principles and practices of fundraising; event records, reports, and documentation; and basic supervisory principles and practices. Required skills in planning, coordinating, and implementing Recreations special events and programs; delivering high quality events that provide necessary funding for the Recreation events; marketing/promoting events and securing event sponsors; arranging event venues, organizing supplies, and booking entertainment; overseeing and recruiting event volunteers; preparing and maintaining event correspondence, records, reports, related documentation; establishing and maintaining cooperative working relationships with other staff, volunteers, sponsors, vendors, community groups, outside agencies and the general public. Work is performed in a standard office environment and outdoors when conducting special events. Subject to sitting, standing, walking, bending, reaching, and lifting of objects up to 15 pounds. Must have a valid driver’s license with a good driving record.
