SAN ANGELO, Texas — All of us at the Angelo State University Small Business Development Center not only write a business article every few weeks but also use writing skills every day.
I am so glad I took business communications in college, because it has helped me become a better writer. Many small-business owners are not skilled in business writing.
While new mediums of communication have developed over the years, business writing is still important.
Some people are naturally gifted and can put down their thoughts easily and effectively. Others struggle to get their point across through their writing.
Fortunately, business writing can be developed through knowledge and practice. Let us take a look at some tips that can help you sharpen your business writing skills.
The first thing to keep in mind when starting a business document is the reader. Any business document, such as a business plan, should be written in a way that it is easily interpreted by the reader.
To be successful you need to know your audience or who will be reading the plan. If you use technical terms, your reader may not be able to comprehend them, which could lead to confusion. So it is important to write a business plan from the reader’s point of view.
The layout of the document should give it a formal look. While writing a business document, it is advisable to avoid using bright colors and fancy fonts. The letter should start with an introduction followed by the objective. The conclusion summarizes all your points so the reader gets a clear idea of what you are trying to put across. Using bullet points may make it easier to read.
Some people go overboard, using large words that not everyone recognizes. Remember your business plan could be read by several people.
As we are becoming more global, it may be that readers may not have English as their first language.
Writing involves quite a bit of thinking, and this can affect the way you organize your business plan. Start by writing your thoughts on a piece of paper, and then begin editing the plan. Those who spend considerable time editing their plan usually have a well-organized one that is concise and effectively communicates their ideas.
If you are writing a plan to obtain capital from a lender or investor, it is important to use the skill of persuasive writing. Investors typically receive many business plans, so you need to make sure yours grabs their attention.
Since many small business owners manage many aspects of their business, there may be a time when you need to write a news release for your business. Now your writing comes under much more scrutiny. Spend time choosing each word and proofread it several times before going public with it. Be very careful to correct any spelling or grammatical errors.
